When a note is created, a matching historical entry is then created. This is really a nice feature. (A little aside here...we were thoroughly frustrated with the way notes were almost meaningless in GM...saving a hsitorical notes item makes it very valuable because of the reporting ramifications.). When I delete the note, the historical item is also deleted...or at least, that is how it behaved for me.
I can see a very valid reason for keeping the functionality that way. However...there is another side to it. We would like to use notes as a place to store the more pertinent info about that client that we do not want to get lost in the activities, etc. But, we would also like to keep the notes area from having so much listed that it gets cluttered or from having old notes that no longer have bearing. It would be nice if deleting the note from the notes area did not remove the historical entry as well. That way, the main notes page could be kept free of older notes, and yet those notes would be retrievable if needed from history.
As an example...a customer may call and go over a particular investment strategy. One of our advisors takes the notes, and they are there for all to see working with the account in case there is a need to see the raw elements of the decision. A month later the client may call and change his strategy. We would not want the old strategy notes to even remain on the notes page...but, we may want to report on historical notes for the client and see what his strategies or other notes items were.
I am thinking maybe a master setting for notes...keep or delete historical entry when a notes field is deleted. The obvious drawback is, notes entered mistakenly and then immediately deleted would create a historical entry. Maybe a pop up dialog askng if you want the note saved or removed from history?
Just a suggestion as I browse through my eval notes. Nothing critical at all.
